USE CASE 01

HVAC Service Dispatch and Customer Tracking

An HVAC company uses HVACFlow to manage daily service calls from one dashboard. The office manager logs in as the owner, creates work orders for customers, assigns technicians, sets job priority, and tracks job status from “Scheduled” to “On The Way,” “In Progress,” and “Completed.” A technician logs in from their phone, sees only their assigned jobs, updates the job status while in the field, and adds service notes after the visit. The customer can use a public tracking link to check the status of their appointment without needing to call the office

Example Flow:

1. Customer calls about no cooling

2. Dispatcher creates an Emergency Cooling work order

3. Dispatcher assigns Maya as the technician

4. Maya logs in on mobile and marks the job “On The Way”

5. Customer opens tracking link and sees the current status

6. Maya completes the job and adds notes

7. Owner reviews reports, active jobs, and completed job.

USE CASE 02

Federal Contract Opportunity Analysis and Proposal Management

Mansa Global Services uses Mansa AI Dashboard to manage government contract opportunities from one dashboard. The owner or proposal manager logs in, uploads contract documents, adds due dates, and uses AI to analyze the opportunity, summarize requirements, check compliance, and decide whether the company should bid.

The team stores important company information in the Knowledge Base, including certifications, SOPs, past proposals, legal documents, and capability details. When creating a proposal, Mansa AI Dashboard uses that stored information to help generate a professional federal proposal with the correct company details, technical approach, timeline, and pricing notes.

Example Flow:

  1. Mansa finds a new SAM.gov opportunity for IT support services
  2. The proposal manager uploads the contract document into Mansa AI Dashboard
  3. AI analyzes the opportunity and identifies key requirements, deadlines, risks, and Mansa’s fit
  4. The team adds supporting documents to the Knowledge Base, such as certifications and past performance
  5. The proposal manager creates a new proposal linked to the contract
  6. AI generates a draft proposal using the contract analysis and Knowledge Base
  7. The owner reviews the proposal, updates the status from “Draft” to “In Review,” then “Submitted”
  8. The dashboard tracks upcoming deadlines, active proposals, contracts, and completed submissions

A worker logs in and only sees jobs assigned to them. They can update job status, add notes, and keep the owner informed without needing calls or texts. Customers can also log into their portal or use a public tracking link/code to check job progress.

Example Flow:
